Our Process

Audit

The starting point is to calculate how much it’s costing to operate your current print platform.

Firstly, we take meter readings from all your print out-put devices over a period that eliminates any peaks and troughs, to calculate an accurate average monthly number of pages printed/copied.

During this period, we’ll call on the assistance of your accounts department to provide details of any finance contracts, current service and toner costs and the date of purchase & cost of your print devices. Without this information we’ll be wasting your time, as well as ours.

We’ll also monitor staff behaviour and the placement of printers, to identify the strengths and weaknesses of your current fleet and we will take the time to understand your future plans and requirements.

We’ll submit our audit report before we try to win your business.

It will show exactly how much you’re spending each month, down to how much each page costs from your various print devices and we’ll report any efficiency improvements we identified.

Its vital clients thoroughly check every aspect of the audit report. So much so, that we won’t move forward until this is done.

Ultimately, a decision as to whether to proceed with a managed print plan is going to be based on the savings it’ll deliver. If the audit overstates the number of pages and/or costs, the savings won’t eventuate and you’ll have made an important decision based on incorrect facts.

If you have any misgivings about how many pages you’re printing, extend the audit period. Toner usage is often calculated on an estimate of print coverage on each page; we recommend you compare the cost allocated to toner to actual purchases over a six month period.

Proposal

Our proposal will identify the equipment that’ll meet your exact needs from our extensive range of brands; importantly we’ll get the right balance between savings and productivity. And we’ll always utilise any cost effective equipment you currently own.

It will also propose solutions to any improvements in business processes uncovered by our audit.

It will offer an agreed cost per mono and colour page, regardless of which print device is used, based on an agreed minimum number of pages per month.

If the monthly volume is exceeded the term of the agreement will reduce. This allows a cost effective refresh/upgrade of equipment sooner to optimise business operations.

The Agreement is easily varied to add additional machines and/or vary volumes to accommodate changes your business.

After acceptance of our proposal our Project Manager will assume responsibility for a professional implementation including:

  1. Project planning and scheduling, including co-ordinating with your IT Administrator;
  2. Device delivery & installation;
  3. Connect machines to network and install printer drivers
  4. Integration & testing;
  5. User training schedules;
  6. Add device IP Addresses to floor plan
  7. Removal of old equipment:
  8. Client signoff; and
  9. Post-implementation review
